ROLE DESCRIPTION: SECRETARY & DATA STRATEGIST
The Secretary is responsible for assisting the President and President-Elect in chapter management. The Secretary also heads up and manages the chapter’s data strategy and provides holistic insights for the chapter.
Specific Responsibilities
- Assumes the responsibilities of the President or President-Elect in his/her absence or incapacity to serve. Coordinates and direct the activities of committees on behalf of the President
- Calls for committee reports as needed
- Attends the Chapter Leadership Summit
- Handles other assignments or special projects as directed by the President or by the Board
- Handles the assignment and removal of Board members in communication channels (website, Asana, Slack, internal Chapter Leaders app, social media, AMA email creation/suspension, etc.)
- Manages the Chapters passwords throughout the year and during Board transitions
- Acts as recorder of all Board meetings by taking notes and serving to the Board for approval
- Maintains chapter files including:
- Constitution and bylaws
- Chapter Board roster
- Correspondence
- Chapter history
- Monthly and annual reports
- Website (may call for a side committee if a lot of changes are needed)
- Internal Chapter Leaders App
- Manages the data strategy and acts as a source of documentation for the chapter
- Learn how our Chapter uses Asana
- Bring in or act as an expert as needed
- Teach others how to best use or project management tool
- Help with tasks as needed until committees are trained
- Provides a holistic view of chapter insights to better guide decisions made in programming, membership, and digital aspects
Commitment
- Serves 3-6 hours per week
- Attends AMA Birmingham programs and events
- Attends monthly Executive Board meetings
Qualifications
- Active AMA Birmingham member (required)
- Degree in marketing, advertising, communications, data strategy or related professional experience with experience in project management, data analysis or direct marketing preferred
- Excellent interpersonal and communication skills
- Ability to work cross-functionally, coordinating across a large, dynamic organization with multiple Board members and committees
