ROLE DESCRIPTION: DIRECTOR of PROGRAMS

LUNCHEON LOGISTICS

The Director of Programs, reporting to the VP of Programs, is responsible for assisting with the development, implementation and execution of the chapter’s overall monthly program strategy aligning with the budget.

Monthly Signature Series luncheons

Specific Responsibilities

  • Assists with the development and implementation of AMA Birmingham FY program plan and budget
  • Oversees execution of monthly Signature Series luncheon programs, including handling all logistics according to best practices in event planning to ensure successful programs. Specifics of event must be locked in a minimum of 60 days in advance (venue in place; announcement finalized, on website and turned over to Communications Committee)
  • Communicates with monthly luncheon speakers (recruited by VP of Programs) on program topic, event details and logistics to ensure successful programs
  • Works collaboratively with VP of Sponsorship (or committee designee) on program sponsorship needs, as well as ensuring companies sponsoring program are supported with items detailed in their agreement
  • Collaborates with VP of Communications and VP of Membership to ensure all program communications are delivered and executed according to communications and programs timeline and ensure events are widely publicized through all channels
  • Negotiates with all vendors to ensure the organization is paying competitive, group or non-profit rates
  • In conjunction with other teams, optimally positions and promotes event to ensure organization meets attendance and financial goals
  • Updates reporting dashboard with monthly luncheon attendance numbers and survey results and post to Google Drive before deadlines as assigned
  • Consistently updates VP of Programs on status of program planning

Commitment

  • Serves 2-4 hours per week
  • Attends AMA Birmingham programs and events
  • Attends monthly programming call/meeting and provides monthly luncheon report

Qualifications

  • Active AMA Birmingham member (required)
  • Degree in marketing, advertising, communications or related professional experience
  • Experience negotiating and implementing high profile events
  • Excellent interpersonal and written communication skills
  • Successful track record of building, motivating and managing a team
  • Ability to work cross-functionally, coordinating across a large, dynamic organization with multiple board members and committees
